Job Description

Entech Staffing Solutions is seeking a detail-oriented Executive Assistant with Purchasing Experience to support daily office operations and procurement activities for a Technology Company in Rochester Hills, MI. This role is critical to ensuring smooth administrative processes, timely purchasing, vendor coordination, and cross-functional support for operations and production teams.

Key Responsibilities

  • Manage daily office operations, supplies, and administrative workflows.

  • Maintain organized electronic and physical filing systems.

  • Support scheduling, document preparation, and general office coordination.

  • Create, issue, and track purchase orders in accordance with company procedures.

  • Request quotes, compare pricing, and coordinate with approved vendors.

  • Follow up on open purchase orders, lead times, and delivery schedules.

  • Communicate material or service delays to operations and management.

  • Assist with inventory tracking, reorder point monitoring, and basic reconciliation.

  • Match packing slips, receiving documents, and invoices to purchase orders.

  • Report discrepancies, shortages, or quality concerns to appropriate teams.

  • Product Transport / Pickup (As Needed)

  • Safely pick up materials, products, or supplies from local vendors or partners.

  • Maintain accurate delivery and pickup records.

  • Represent the company professionally during off-site pickups or deliveries

  • Maintain vendor records, pricing agreements, and contact databases.

  • Assist with vendor onboarding, certificates of insurance, and compliance documentation.

  • Support cost-control initiatives through pricing reviews and spend tracking.

  • Accounts payable with invoice matching and documentation.

  • Track purchasing spend and prepare basic reports as requested.

  • Support expense tracking and administrative budget controls.

Qualifications

  • 2+ years of office administration experience with purchasing or procurement responsibilities.

  • Experience creating and managing purchase orders.

  • Strong organizational skills and attention to detail.

  • Proficiency with Microsoft Office (Excel, Word, Outlook).

  • Experience with ERP/MRP or accounting systems (NetSuite, SAP, Dynamics, QuickBooks, or similar) preferred.

  • Manufacturing, operations, or regulated-industry experience is a plus.
